How
to Plan Your Tour
If you have
never planned a group tour before, you may find the following
tips helpful.
Remember,
you can always contact us for free advice at any stage.
CHOOSE
A THEME/TOPIC/DESTINATION
First
decide what you would like to do and what you would like to
achieve by travelling as a group. Have a think on how long the
tour should be, and roughly, how many people you think will
want to travel. For a group, we generally say a minimum
of 15 people. If travelling by coach, try to fill the
coach, it will save money in the long-run.
If you have
a destination (or a few) in mind, have a general think about
what is the most important thing for you on this tour.
For a concert tour it will probably be singing in nice venues;
for a study tour, think about the right mix of study time and
free time and which visits would fit the course in particular.
Don’t forget that we will be able to help you with
suggestions too!
Decide on
dates and possible travel times.
Have some
idea of when you want to travel. Which month? Over a weekend
or not? Bear in mind that in order to run a good tour, a
minimum lead-in time for us would be 3-6 months prior to
travel.
DECIDE
ON SOME OTHER ASPECTS OF THE TOUR
Have a think
on what type of accommodation you would require. How important
is it that the
group is based in the centre of a town or city. Or if budget
is tight, would you consider staying further out? Will people
share rooms? How many meals do you expect to be included in
your tour?
Will you
travel by coach? Or combination flight/coach? Will everyone
book their own travel, or is this to be organised as a group?
HAVE
AN IDEA OF BUDGET
Without
receiving a tour quotation, it is of course very hard to
determine a budget. But in most instances, you will have a
feel for what group members can or are prepared to pay towards
a group trip. Or perhaps you know how much the school
can sponsor an educational tour.
With regard
to travel, bear in mind that the accommodation side of the
trip can work out cheaper as part of a group, but for
transport this is not always the case. Group flights, or
train tickets for example, may end up costing a little more
than if everyone were to make their own way.
